Operation Charity

Donors, gifts, funds, receipts and reports in one place, built for small nonprofits, volunteer fire department auxiliaries, foundations and support teams. It is free, there is no contract, and the organization owns its data.

What it does

Every gift, every donor, every restricted dollar and every receipt, in one place your treasurer and your board can trust.

Every donor, one record

People and households, with every gift, receipt, call and note on a single timeline. Spouses and family members are linked, and a gift given in someone's honor shows on both records.

Receipts the IRS accepts

A receipt for each gift and a year-end statement for each donor, as PDF, with the wording the IRS asks for, including the goods-and-services disclosure when it is needed. Issued once and never silently changed.

Restricted money stays restricted

Record what each gift is for. See what is left in every fund at a glance, and move money out only with a recorded reason.

Grants you can keep up with

Each award, its period, what has arrived, what is still due and when the reports are owed.

Who to thank today

A daily list: thank-yous due, first-time donors ready for a second ask, donors who are slipping away, grant reports coming up.

Reports your board will read

Who gave last year but not this year, how many donors came back, giving by fund. Each one downloads as a spreadsheet.

How your data is handled

Nothing is ever edited after the fact. Gifts are append-only, so a correction is recorded as an adjustment and totals always tie out. Every record carries your organization's id, and the database itself enforces that, so one organization can never see another's records. You can export everything at any time or connect to it through the API. Nothing is sold or shared.

Moving from another system

Bring your current list over from Little Green Light, Bloomerang, DonorPerfect or a plain spreadsheet. The importer flags duplicates and shows you a preview before anything is committed, and if an import turns out wrong, it can be rolled back.

How to get it

Request it through the form on the Sites for Service home page and tick "Donor and fund tracking". We will set up a 20-minute call, then set up your organization and import your first file together. Your staff are invited by email, and two-step sign-in is available.

For developers

The API reference is public at operation-charity-crm.vercel.app/docs (opens in a new tab).
